Bid Coordinator

Contract Type: Permanent
Salary: £35,000-£40,000 per annum
Location: Swindon or Paddington
Working Pattern: Full-time, office/site based

The Role

We are seeking an experienced Bid Coordinator to join the Work Winning Team. You will be responsible for coordinating and supporting the production of high-quality pre-qualification questionnaires (PQQs), tenders and other client submissions.

Working closely with Bid Managers, Bid Writers, Business Development Managers and subject matter experts, you will help coordinate the bid process, manage submission information and ensure documentation is produced accurately and to agreed deadlines.

This role would suit someone with previous bid coordination, tender administration or project coordination experience, ideally within construction, civil engineering, infrastructure or the wider built environment.

Key Responsibilities

  • Coordinate the production and submission of PQQs, tenders and other bid documentation.
  • Support Bid Managers and Bid Writers throughout the bid process, from initial briefing through to final submission.
  • Manage bid deadlines, actions and submission requirements, escalating issues where required.
  • Liaise with internal teams and subject matter experts to gather project information, CVs, case studies and supporting documentation.
  • Coordinate bid meetings, briefings and progress reviews.
  • Format, collate and quality check submission documents to ensure a consistent professional standard.
  • Maintain accurate bid records and documentation within relevant systems.
  • Support the final review and timely submission of completed bids.

Skills, Knowledge & Experience

  • Previous experience in bid coordination, tender administration, project coordination or a similar role.
  • Experience supporting PQQs, tenders or client submissions.
  • Strong organisational skills and excellent attention to detail.
  • Ability to manage multiple deadlines and competing priorities.
  • Excellent written and verbal communication skills.
  • Ability to work effectively with multidisciplinary teams and senior stakeholders.
  • Strong document management and administration skills.
  • Proficient in Microsoft Office, particularly Word, Excel, PowerPoint and Outlook.
  • Ability to work collaboratively and take ownership of assigned tasks.
  • Experience working in a deadline-driven environment.

Location

This is a full-time, office/site-based position, with the successful candidate working from either the Swindon or Paddington office.

Occasional travel to project sites or other company locations may be required.
