Pay Rate: £138 per day PAYE

Background Checks: Security Clearance
Hours: 7.4 hours per day, 5 times a week Hybrid (2 in-office days)


Job Overview

We are recruiting on behalf of one of our clients for a Documentation Project Coordinator to support the management and control of project documentation within a highly regulated environment. This role is responsible for coordinating, maintaining, and tracking documentation throughout the project lifecycle, ensuring information is accurate, accessible, and compliant with company and regulatory requirements.

The successful candidate will play a key role in supporting project teams, maintaining document control processes, and ensuring the timely delivery of project documentation.

Your Responsibilities

  • Coordinate and manage project documentation throughout its lifecycle.
  • Maintain document registers, trackers, and document management systems.
  • Ensure documents are correctly formatted, version controlled, approved, and distributed.
  • Monitor documentation deliverables and support project milestones.
  • Liaise with project managers, engineers, suppliers, and stakeholders to obtain and track required documentation.
  • Support the preparation and submission of technical and project documentation.
  • Maintain accurate records and ensure compliance with company procedures and quality standards.
  • Manage document review and approval workflows.
  • Support internal and external audits by providing document and records evidence.
  • Prepare reports on document status, progress, and key performance indicators.
  • Assist with process improvement initiatives relating to document control and information management.
  • Ensure confidentiality and security of sensitive project information.

  • Ability to manage multiple priorities and work to deadlines.
  • Experience working within project, engineering, construction, infrastructure, energy, defence, or other regulated environments.
  • Strong administrative and coordination skills.
  • Proactive approach to problem solving and continuous improvement.
  • Ability to work both independently and collaboratively within project teams.
  • Competent user of Microsoft Office applications, particularly Excel, Word, and Outlook.

Experience / Qualifications Required

  • Previous experience in document control, project coordination, project administration, records management, or a similar support role.
  • Experience managing controlled documentation within a project environment.
  • Knowledge of document lifecycle management, version control, and records management principles.
  • Experience using SharePoint, EDMS, Aconex, Documentum, OpenText, Teamcenter, or similar document management systems.
  • Experience maintaining document registers, trackers, and project records.
  • Experience supporting compliance, quality assurance, or audit activities would be advantageous.
  • Relevant qualification in Business Administration, Project Management, Information Management, or a related discipline is desirable.
  • Experience within nuclear, construction, engineering, infrastructure, defence, or energy sectors would be beneficial.
