Job Description
JOB TITLE: Secretary/Admin SupportLOCATION: Location: Blended working approach with a combination of office based , home working and as a mobile resource as and when required. Office locations can include Sellafield, Whitehaven and Lillyhall.
RATE: £ 10.92 Per Hour Paye
DURATION: 12 Month Contract
37 Hours per week Monday - Friday
ESSENTIAL SKILLS
-
Previous Secretarial/Administration Experience
-
Previous Experience of working with the Nuclear Industry would be ideal but not essential
-
Current security clearance of have the ability to obtian this
-
Excellent planning and organisational skills
-
Excellent communication skills (written and verbal
-
Self-Motivated (able to work unsupervised and on own initiative)

Excellent IT skills including knowledge of Microsoft Office Suite and Outlook
JOB PURPOSE / DESCRIPTION
The successful applicant will provide Secretarial and Administration Service to a Head of Department and other managers within the Admin Services customer base.
The Secretary will be responsible for but not limited to the following day to day duties:
- Act as first point of contact for any queries either in person or telephone

Act as first point of contact to Managers office, dealing with issues yourself and delegating to appropriate manager/s where possible.

Keep up to date with delegated actions where necessary and maintaining good contacts with internal and external customers.

Organise internal and external Meetings , Conferences and visits and ensure the Managers electronic diary is up to date and accurate at all times

Organise, prioritise, delegate (where appropriate) and distribute mail (electronic or paper).

Manage and Monitor Managers Actions, using 'action tracking database', keeping manager updated with progress on a regular and timely basis.

Attend meetings and take minutes and actions.

Monitor actions and ensure all meeting associated documents are distributed on time.

Arrange travel and accommodation and ensure Managers are fully aware of arrangements.

Produce documents with confidentiality and a high degree of accuracy, speed and efficiency following Company templates

Undertake Filing, Photocopying, Archiving, Plant Document Support and Annual Leave Database as necessary.

Provide secretarial cover for Managers as required by the business during periods of absence by providing a flexible and agile service.
Additional tasks can include the following:
- Issue plant visitor passes and criticality belts (where required by the business)
- Compile Departmental Reports - i.e. KPI's etc.
- Manage the updates to the Building occupancy distribution lists.
- Coordinate both the Visitor and or Resident Sign in Sheets for the nominated building, if required.
- Stationary ordering and Monitoring stock levels for Departments.
- Film Badge collation and Issue.
- Accommodation Coordination.
- Support and Archive Plant Documentation
